A Guide to Google Tools: Tips and Tricks You Can’t Live Without

Google is more than a search engine. There is a multitude of products that you can use for office purposes. One example of this is the Google fax that allows you to send and receive faxes through Google.

But, to make it possible, what you need is an online fax service that will turn your devices like computers, laptops, or smartphones into fax machines. There won’t be any need for a fax machine, paper, ink, or any other necessity.

However, the one thing that you do need is a fax number. One option that you have to do is contact a telephone provider who can set up a connection for you. Or, you can choose to avoid this hassle of buying a fax machine, toner, paper, etc.

The easier way is to take the help of an online fax service like CocoFax that will allow you to use any internet-connected device for facilitating Google Fax communication.

CocoFax is an online fax service provider that is reputed as well as popular for facilitating fax communication through Gmail. With this service, you can send and receive faxes from anywhere in the world.

Benefits of using Fax with Google

Here are the benefits you will be able to enjoy by using CocoFax with Gmail:

You must already know how fast Google is. With Google Fax, you will be able to enjoy a similar speed. When you are using Gmail to send a fax, it will be sent immediately and without delay.

If there is any delay in transmitting the fax, it will be because of any issue on the receiver’s end.

2.No sharing line

Usually, in the office, people have to use one fax machine for sending and receiving faxes. But, with Google Fax through CocoFax, every employee will have their own dedicated fax number that they can use.

When you use a fax in a traditional way, you have to make some investments. However, when you use Google Fax, you don’t have to suffer through financial constraints like a fax machine, ink, paper, or any other things.

4.Computer to Computer communication

If the receiver is using Google fax as well, there won’t be any need for printing fax on either end. All the transmitted and received faxes will be done digitally.

When you are using a fax machine and printing the faxes through them, it is possible that someone near you is reading them. But, with Google Fax, the highest priority is given to security. Only you will be able to read the faxes.

6.Fax Forwarding

With Google Fax, it is possible to send documents to multiple fax numbers. You won’t have to scan the documents over and over again. It is also possible to send multiple fax documents simultaneously.

Google fax allows you to take portability to another level. Since you won’t be restricted to a fax machine, you can use any device to fax including Android phone, iPhone, laptop, tablet, or desktop.

Sending faxes with Gmail

If you want to send a fax through Gmail, here are the simple steps you need to follow:

1.The first thing that you have to do is Visit the CocoFax page and sign up for CocoFax. As soon as you create your account, you can start the 30-day free trial period. When you have signed up, you will be able to select a fax number for free.

2.Make sure that you use the same Gmail address for registering that will be used for sending and receiving faxes.

3.After you have signed up, you can either open Gmail on a web browser or the app on your smartphone. Next, you have to select the option of creating a new email. As soon as you click it, a new popup will open.

4.Next, you need to start filling the required field to send the fax.

The first field is the ‘To’ field where usually you put the address of the receiver. In this case, you will be entering the receiver’s fax number along with the country code. It will end by ‘’.

For example, if the receiver lives in India (country code +91) and their fax number is 123456, you will be entering the following:

The second field is the ‘Subject’ field. It is not a mandatory field so that it can be left empty. Anything that you write in this will appear on the top of the fax document.

The email body is also optional. Whatever you type in it will appear on the cover page of the receiver’s fax document.

The last and most important part is the attachment that will include the fax document that you need to send. This is the main document and can support different formats including docx, doc, xlsx, xlx, jpg, and png.

If you want, you can attach multiple documents simultaneously. All the documents will be merged by CocoFax and sent as a single fax.

5.After filling and double-checking the field, all that is left to do is press the ‘Send’ button. This email will be sent to CocoFax which will be translating it into a fax document and sending it to the fax number you have entered in the ‘To’ field.

Once the fax document is received by the fax machine of the receiver, you will receive an email from CocoFax confirming the same. You will receive a notification, even if the fax was not delivered successfully.

Please note that if the fax wasn’t delivered successfully, theoretically, there won’t be any issue at CocoFax’s end. The most plausible reason is that the fax machine of the receiver is turned off, busy, or you have entered the incorrect fax number.

Receiving faxes using Gmail

If you thought that sending faxes using Gmail is easy, you will realize that receiving faxes is even easier. If you have registered on CocoFax using your email address, there is nothing more that you have to do.

Whatever faxes are sent to you on the assigned fax address will be received automatically by CocoFax. Whatever fax document has been sent to you, it will be converted into pdf and forwarded to your email inbox.

The sender details will be sent to your inbox as well. You can download the fax documents from the attached documents.
